Privacy Policy

Protecting your data is very important to us. We collect and process your data in accordance with the applicable data protection rules. This privacy policy explains how we collect, store and process your data.

1. Which data do we collect and process?

Log data

When you visit our websites or use our services, your end device transmits log data (connection data) to our servers, which make the services and websites publicly available. This is especially the case when you place an order on our site, use our contact form or upload/download data elsewhere.

The collected log data contains the following information:

  • IP addresses of the end device used to access the services or websites
  • Data about the browser you use on the end device to visit the websites
  • The previously visited website that referred you to our websites by clicking a link
  • Data about your operating system and browser, including the version (general system configuration)
  • Date and time of access

The collected data is stored and processed only if it is required to provide our services. In particular, the data is used to secure our systems. For this purpose, the log data is analysed for unusual patterns of behaviour for humans (example: several hundred website accesses per second from one end device). The log data is stored for a maximum of seven days and then deleted.

Cookies

Cookies are identifiers stored by the server on the end device (browser). These identifiers contain information that can be stored and read by the server. We use only session cookies on our websites, which are deleted when you close your browser. The cookies are used to enable certain functions on our website. These include:

  • The login area (administration area) for our customers
  • The use of our ordering system
  • Setting specific preferences when visiting our website

By adjusting your browser settings, you can be informed about cookies being set and can also prevent this. Under certain circumstances, certain functions of our online services may then not be available to you.

Contract data

We collect, store and process the data you provide to us in the context of an order or inquiry. This data includes:

  • Log data
  • Your full name and, where applicable, title
  • Your address data
  • Your email address
  • Your telephone number

The contract data listed above is collected, stored and processed only for the conclusion and fulfillment of the contract, as well as for billing purposes. Your contract data is also used to contact you in the event of updates or disruptions.

Services

Using our services allows you to store data on our servers. The data you store is collected, stored and processed by us when it is saved. The processing of your data is limited to creating backups on our backup system.

2. How do we use your data?

Your stored contract data is used to conclude and fulfill the contract and for billing purposes. Your contact data is also used to inform you in the event of updates or disruptions. Log data is evaluated exclusively for securing our services and is deleted after seven days.

3. When are your data changed, deleted or blocked?

You can change and delete the data you store via our services yourself. Backup copies from our backup systems can be deleted by us upon request. Backups are generally deleted with a delay. After the contract ends, we delete the data stored in the services. Contract data is blocked after termination of the contract and deleted after the statutory retention period has expired.

4. When and how do we pass your data on to third parties? Which data is passed on to third parties?

No data is passed on to third parties unless it is necessary to provide the services you have requested. Data that is passed on to third parties for the provision of the following services includes:

Domain registration

  • Title, first and last name of the domain holder
  • Where applicable, the company or organisation of the domain holder
  • Street, house number, postal code and city of the domain holder
  • State and country
  • Telephone number and email address

SSL certificates

  • Domain name
  • Organisation
  • Department of the organisation
  • City and country
When providing both domains and SSL certificates, we act as an intermediary between our resellers and you as the customer. With our domain reseller, there is an appropriate framework agreement that governs the transfer of your data to the domain registries.

5. How do we secure your data?

Data security is very important to us. We therefore work exclusively with recognised methods for encrypting and protecting the data collected, stored and processed by the services we provide. The technical and organisational security measures are reviewed regularly and adapted to technological progress.

Order and contact form

Data that you submit in the context of an order or contact request via our website, as well as data sent to your end device (browser) when our website is delivered, are transmitted exclusively via an encrypted connection (SSL).

Access to servers

We operate our own servers exclusively in a data centre in Frankfurt. The data centre is certified as follows:

  • Tested by TÜV (TÜV Saarland: certified data centre level 3 [structural, technical and organisational])
  • ISO 27001
  • ISO 9001

Physical access to the servers must be registered with the data centre in advance and takes place under constant video surveillance.

Services

Seafile cloud service

Communication between client and server is always encrypted. You also have the option of storing data encrypted on the server when uploading it. Please use the corresponding function of the cloud system.

Mail service

Connections from your end device to the Linetz mail servers are encrypted. Encryption from our mail servers to the recipient cannot be guaranteed if the receiving mail server is not operated by Linetz, as it is outside our control. We therefore recommend end-to-end encryption for your emails (e.g. using PGP).

Web hosting

For your website we offer the option of setting up SSL encryption. A free version is available in the form of Let's Encrypt certificates. We set these up as standard.

6. What legal rights do you have?

You have the right at any time to find out whether and which data we have stored about you. If you wish to revoke a consent previously granted to us for the use of your data (right to object), or if you wish to assert your statutory rights to access, deletion, blocking or correction of your data, please contact the following:
